Formal Quoting without Item Codes

Hi - we run a re-selling business and do hundreds of quotes per day. We want to start doing formal quotes on PDF documents, however the nature of the business is alot of quoting, and we unfortunately don't win every quote so don't want to create every item number we quote as an item in MYOB - plus it takes a long time to create items when you have to select G-L Codes etc - Our operations team do formal part creation when we win orders.

 

is there a way to do an item quote, enter in the item number being quoted so it displays correctly, but it not create a whole item in the MYOB inventory list?

 

From what i can see im thinking the only way to do this is have some kind of external CRM system - any help would be appreciated.

    If you're looking to create formal quotes in MYOB without adding new item codes to the inventory, there are couple of approaches you can consider.

     

    Instead of item-based quotes, you can create service-based quotes where you manually input the description, price, and other details without trying them to a specific item in your inventory. This allows you to bypass the need to create a new item code for every quote.

     

    If you're exporting the quote as a PDF, you can enter the required information manually into the description fields on the quote form, and it will still show up in the quote without affecting your inventory. 

     

    Another option is to customise your quote templates in MYOB. You can set up fields that allow you to add non-inventory items without having to create new item codes every time.

     

    Regarding the idea of using an external CRM system, it might help in managing the quoting process more efficiently. However, the options above should work within MYOB itself if you'd prefer to keep everything integrated.

    if we did the quote as a service item, it would still ask for a G-L code to allocate to for each line though right? We are trying to simplify our quoting process but make it look more professional, whilst also not clogging up the system with alot of un used codes.

      That is right! Even when quoting as a service item, each line will still require a General Ledger (G-L) code for proper allocation. Here's a link that can help you in customising your quote template, Quote Template | MYOB Community.
